1. Choose a consistent structure
Create a project folder with simple sections such as Brief, Source, Working, Review and Approved. Use names that explain the contents to another person without extra context.
2. Keep originals separate
Put source files in their own folder and work on copies. Keep a brief note about where each asset came from and whether you have permission to use it. Do not mix private client files with material intended for public sharing.
3. Name versions clearly
Use a consistent date or version number in filenames. Identify the current working file in a short project note. Avoid names such as final final new that do not explain which file is approved.
4. Define the handoff
Put only the approved deliverables in the Approved folder. Include a short readme explaining the contents, formats and any remaining limitations. Check the receiving person can open the files.
5. Review access and backups
Check sharing permissions before handing over a folder. Keep an appropriate backup of work you are entitled to retain. Follow any agreed retention or deletion requirements for the project.
